Start with the programme requirement
If the original summer school page cannot be opened, ask the organiser for the latest written requirements and start a parent document pack immediately.
The core file usually includes passport copy, visa or entry permission if applicable, insurance, medical form, vaccination record, allergies, medication notes, emergency contacts and parental consent.
Vaccinations and medical forms
Parents should first check whether the child is up to date with routine vaccinations, then check destination-specific travel vaccine advice. Travel vaccines depend on destination, itinerary, duration, activities and the child's age.
If a medical form requires a doctor or clinic signature, book early and bring the programme form, passport details, vaccination record and medication list.
Parental consent and travel permission
For a child travelling abroad, written permission from people with parental responsibility may be requested at borders or by programme staff. GOV.UK notes that a permission letter may be asked for at a UK or foreign border.
The letter should name the child, parents or guardians, accompanying adult or organisation, travel dates, destination, emergency contacts and permission for routine supervision and urgent medical contact.
